Privacy Policy for members, suppliers and users of the NNPC website (2024)

This is the Privacy Policy (hereinafter referred to as the “Policy”) of the Mutual Insurance Company ‘Noord Nederlandsche P&I Club’ U.A., and the organisations in which NNPC has a majority interest, namely NNPC Rechtsbijstand B.V., NNPC Management B.V. trading as NNPC Marine Insurance, NNPC Logistics B.V., and NNPC MGA B.V., hereinafter referred to as “NNPC.” NNPC is responsible for the processing of personal data. This Policy applies to everyone who uses the NNPC website, the members/insured parties of NNPC, and the suppliers of NNPC.

This Policy provides you with information about the processing of your personal data and any other ways your personal is being used by us. If you have any questions after reading this Policy, you can contact us using the contact details found in the final paragraph of this Policy.

We handle your personal data with care and ensure that any processing of your personal data complies with applicable laws and regulations. We aim to protect your privacy, while providing you with the best possible personal service.

Types of personal data

We process a wide range of personal data. The types of data that may be processed include:

  • Company name and information regarding vessels, cargo, and their security;
  • Data about the legal owner of the vessels, such as name, full business address, website, and any co-insured parties;
  • Data concerning contact persons within the company, such as full name, initials, gender, and position;
  • Data concerning involved brokers, agents, lawyers, and claims handlers, such as full name, initials, gender, and position;
  • Names of experts involved;
  • Names, dates of birth, identity document or seaman’s book numbers of crew members, if necessary for claims handling;
  • Employment conditions of crew members;
  • Medical reports, insofar as necessary and no more than necessary for assessing your application;
  • Photos and/or video footage of incidents;
  • Statements from witnesses;
  • Contact details such as business address, email address, telephone and fax numbers;
  • File number you have with NNPC;
  • Your IP address if you visit our website;
  • Information about possible claims payments;
  • Data relating to vessel certification;
  • Photos and video footage related to damages;
  • Information included in relevant correspondence;
  • Photos of events;
  • Other information provided in connection with the purchasing of a product or the handling of a claim.

Use of personal data

We collect your personal data, among other things, when you provide your personal data via our website (e.g., via the contact form), register for insurance, report a claim, or sign up for our newsletter.

We use your personal data only for the purposes for which you provided it to us. For example, if you provide personal data regarding:

  • A request for information about our services and products, we process your personal data only to comply with that request;
  • Taking out an insurance policy or reporting a claim, we process your personal data only for the acceptance process, the execution of the requested insurance(s), the collection of premiums, and the (financial) settlement of reported claims;
  • Receiving our newsletter and event invitations, we process your personal data only to send you the newsletter or invitation.

Additionally, we may use your personal data to inform you about our products and services that may be of interest to you and to send survey forms for our customer satisfaction surveys. The legal bases for processing your personal data for these purposes are the execution of a agreement, NNPC’s legitimate interests, and in some cases your consent. The aforementioned purposes (reasons) for processing your personal data also constitute the legal bases for this processing, namely the necessity of the processing: (i) for the execution of our agreement with you; (ii) for the protection of our legitimate interests in proper and efficient business operations; (iii) your consent; and (iv) compliance with our statutory obligations. Where the basis for processing your personal data is our legitimate interest, we always consider your interest in protecting your privacy.

Access and disclosure of your personal data to third parties

NNPC employees who require access to your personal data for the performance of their duties and the above-mentioned purposes have access to your personal data.

Your personal data are stored by, and accessible to, Arcus IT. Arcus IT is our network administrator and also ensures the secure storage of all our data.

Our website administrator also has access to the data you provide via our website, including data entered in the contact form.

Otherwise, your data are not disclosed to third parties.

Retention period

Personal data are not retained longer than necessary for the purposes for which they were collected or further processed. The retention period may differ per category of personal data.

After the end of the insurance and/or the settlement of the claim, your personal data are generally retained for 2 years, unless a longer retention period is necessary due to a legal obligation or other legitimate reason.

Security of personal data

NNPC has taken appropriate technical and organisational measures to protect your personal data against loss or unlawful processing, including but not limited to password protection, secure data storage, a physical safe, and an alarm system to protect the building.

No cookies

Our website does not use cookies but uses log files. With these log files, we obtain the following information: IP address(es), pages you visited, browser, and the time you visited our website.

Right to information, access, and correction

You have the right to access your personal data and/or to correct, supplement, delete, or block your personal data and to object to the processing of your personal data. You also have the right to restrict the processing and the right to data portability.

In addition, you have the right at all times to file a complaint about the processing of your personal data with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

If this Policy states that the processing of your personal data is based on your consent, such as receiving newsletters, you have the right to withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing before withdrawal.
